polydomainai is operated by Plan Labs AI, Inc., a Delaware corporation (“we”, “us”, or “our”). We provide an AI-powered interview preparation platform for data engineering and data science roles, accessible at polydomainai.com.

2. Information We Collect

We collect the following categories of information:

  • Account information: your email address and, if provided, your name. This is collected when you register or sign in via LinkedIn OAuth.
  • Practice data: your answers to interview questions, AI feedback scores, self-assessments, bookmarks, and learning history. This data is used to track your progress and improve question serving.
  • Usage analytics: events such as pages visited, features used, and session durations. This is collected via PostHog, a product analytics service operating as a data processor on our behalf.
  • Payment information: if you subscribe to a paid plan, payment details are processed by our payment provider and are not stored on our servers.
  • Technical data: IP address, browser type, and device information collected automatically via standard web server logs.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the polydomainai platform
  • Personalise your learning experience and track your skill progress
  • Send transactional emails (account verification, password reset)
  • Analyse usage patterns to improve product features
  • Process payments and manage subscription billing
  • Detect and prevent fraud or abuse
  • Comply with applicable legal obligations

We do not sell your personal data to any third party, nor do we use your practice answers to train AI models without your explicit consent.

4. Service Providers (Data Processors)

We engage the following service providers who process data on our behalf and under our instructions. They are not authorised to use your data for their own purposes.

  • PostHog — product analytics (event tracking, session analysis)
  • Hetzner Online GmbH — cloud hosting; your data is stored on servers located in Germany (EU)
  • Payment processor — handles subscription billing; we do not store card details

5. Cookies and Tracking

We use a session authentication cookie (mr_access_token) that is strictly necessary to keep you logged in. We also use localStorage for preferences (theme, practice state) which does not leave your device.

PostHog analytics uses a first-party localStorage identifier. We do not use third-party advertising cookies.

6. Data Retention

We retain your account and practice data for as long as your account is active. If you delete your account we will erase your personal data within 30 days, except where retention is required by law (e.g. financial records for 7 years).

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: request a copy of the data we hold about you
  • Rectification: correct inaccurate or incomplete data
  • Erasure: request deletion of your data (“right to be forgotten”)
  • Portability: receive your data in a machine-readable format
  • Objection: object to processing based on legitimate interests
  • Restriction: request that we restrict processing in certain circumstances
  • Withdraw consent: where processing is based on consent, you may withdraw it at any time

To exercise any right, email support@planlabsai.com. We will respond within 30 days. EU/EEA and UK residents may also lodge a complaint with their local data protection supervisory authority.

8. International Transfers

Plan Labs AI, Inc. is based in the United States. Your data may be processed in the US and, through our hosting provider Hetzner, in Germany (EU). Where we transfer data from the EEA, we rely on appropriate safeguards, including standard contractual clauses where required.

9. Children’s Privacy

polydomainai is not directed at children under 16. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with their data, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the platform. The “Last updated” date at the top of this page reflects the most recent revision.
